Volunteers needed – EAJS 2021

Wir möchten hier auf den ‚Call for Volunteers‘ der European Association for Japanese Studies (EAJS) für die EAJS Konferenz 2021 (24.8.-28.8.) aufmerksam machen. Studierende, die als Freiwillige bei der Konferenz unterstützen, sind von den Teilnahmegebühren befreit.

Dear all,

We are looking for volunteers to assist with the upcoming EAJS2021 conference <https://nomadit.co.uk/eajs/eajs2021/> that will take place in the end of August. This will be the largest gathering of Japanese Studies scholars in Europe this year, with a wonderfully rich selection of panels <https://nomadit.co.uk/eajs/eajs2021/conference-explorer#all>, a film programme, and cultural events.

The congress will run from 24 to 28 August, but *volunteer assistance will be needed on 4 days only – from Wednesday to Saturday, 25 to 28 August*.

Your shift would run 2 x 120 minutes on each day – you’d be supporting two panel sessions (a shift starts 30 minutes before the actual panel session starts, sessions last 90 mins).

*Volunteer duties*
Vounteers will be assigned to provide technical support*, matched to your interests and availability!*). The volunteer team would be fully supported at all times by the NomadIT team (the conference admins) throughout the conference.

Your role would involve being an ‚administrator‘ in the online platform software Whova. *Whova is Zoom based*, so you’d basically simply need to know your way around Zoom, with some additional proficiency that we’d show in trainings. Every panel or event at the conference will be allocated 1 volunteer.

A major role of the volunteer in each room will be to help those in the audience with any technical problems they may encounter (audio/ visual and browser and software settings & general troubleshooting), so that the convenor/chair can focus on the intellectual content and related questions. Most of these requests for help from the audience will be via the text chat interface that you will monitor for the duration of each event you are allocated to and you will respond to individuals in the group or private text chat boxes, to resolve issues or answer any questions they may have that are not related to the panel/event’s intellectual content.
You will co-ordinate things with the panel or event convenor/chair (who will also have administrator rights) and notify us (NomadIT – the super admins(!)) if there is a major tech issue in your panel or event and we can come to your assistance.

*For your trouble, you will be provided with a fee waiver to attend the whole conference* and we would ensure you had some time off each day so you could attend panels, events and network as a delegate as well. As we will try to schedule you to assist in the panels you are interested in anyway, also the time spent working should be enjoyable and stimulating.

*Training*
We will schedule administrator trainings for volunteers to take place in the week before the conference (so the week startiAugust). We’ll try to offer a couple of training times to cater for different availabilities. The trainings will be about 2 hours (probably shorter, will depend on question time etc).
